Position Summary
Under the general supervision of the Clerk of Courts, the Deputy Clerk performs a variety of clerical, administrative, customer service, financial, and recordkeeping duties in support of the efficient operation of the Perry County Clerk of Courts Office.
The Deputy Clerk is responsible for receiving, processing, filing, docketing, maintaining, and retrieving court documents and records; collecting and receipting court-related payments and fees; assisting attorneys, litigants, court personnel, government agencies, and the general public; and performing other duties as assigned.
Employees in this position must exercise sound judgment, maintain confidentiality, provide professional and courteous customer service, and accurately follow applicable laws, rules, policies, procedures, and court directives.
Deputy Clerk Responsibilities
- Court Records and Case Processing
- Establish and maintain case files and enter case information accurately into applicable court case management systems.
- Process filings and other legal documents for cases within the jurisdiction of the Clerk of Courts.
- Assign case numbers and maintain accurate docket and case information.
- Retrieve case files and records for court personnel, attorneys, government agencies, and members of the public in accordance with applicable laws and office procedures.
- Assist with maintaining records in accordance with applicable records retention requirements.
- Financial and Payment Processing
- Receive payments for court costs, filing fees, fines, and other authorized transactions.
- Issue receipts and accurately record financial transactions.
- Process, balance, and account for monies received in accordance with established office procedures and applicable financial controls.
- Prepare deposits, reports, disbursements, and other financial documentation as assigned.
- Customer Service and Public Assistance
- Provide courteous, professional, and efficient assistance to attorneys, litigants, court personnel, government agencies, and the general public.
- Answer telephone calls, respond to routine inquiries, take messages, and direct callers to the appropriate person or agency.
- Assist individuals with locating public information and understanding general court procedures.
- Provide copies of records and documents in accordance with applicable laws, policies, and procedures.
- Court and Office Support
- Communicate and coordinate with judges, court staff, attorneys, law enforcement agencies, county departments, and other governmental entities as necessary.
- Prepare routine correspondence, reports, forms, and other documents.
- Operate computers, printers, scanners, copiers, telephone systems, and other standard office equipment.
- Maintain office supplies and materials as assigned.
- Cross-train in other functions and areas of the Clerk of Courts Office to ensure continuity of operations.
- Perform the duties of another Deputy Clerk when necessary due to absence, workload demands, or operational needs.
- Other Duties
- Maintain confidentiality and protect sensitive information in accordance with applicable laws, court rules, and County policies.
- Follow all Perry County policies, departmental procedures, safety requirements, and applicable laws and regulations.
- Attend required meetings, training programs, and professional development activities.
- Perform other related duties as assigned by the Clerk of Courts or Chief Deputy Clerk.
Deputy Clerk Qualifications
Any equivalent combination of relevant education, training, and experience may be considered, including but not limited to:
- Education: High school diploma or General Educational Development (GED) certificate required.Experience
- Previous clerical, administrative, customer service, financial, legal, court, or government office experience preferred.
- Experience with data entry, document processing, records management, or cash handling is preferred.
- An equivalent combination of education, training, and experience may be considered.

• Work independently while also functioning effectively as part of a team.
• Exercise sound judgment and discretion.
• Maintain regular and predictable attendance.
